When we work on your systems

During a project we may have access to personal information held on your systems, such as details of your staff or customers. In that case we act as your data processor. We only use that information to carry out the work you have asked for, keep it confidential, and follow the terms agreed between us.

Who we share it with

We only share your information when we need to, with:

  • trusted service providers who help us run our business, including our website host (Hostinger) and our email and document storage provider (Microsoft 365);
  • engineers who work with us on your project, who are bound by confidentiality;
  • our accountant and other professional advisers;
  • regulators, law enforcement or other authorities, where the law requires it.

Transfers outside the UK

Some of our service providers may process information outside the UK. When this happens, we make sure it is protected by UK adequacy regulations or by approved safeguards such as the International Data Transfer Agreement.

How long we keep it

  • Enquiries that do not lead to work: up to 2 years from our last contact.
  • Client records: 6 years after our work ends, to meet tax and legal requirements.

After that, we delete or securely destroy the information.

How we protect it

As an IT security consultancy, we apply the same standards to our own systems that we recommend to clients, including multi-factor authentication, encryption and access limited to the people who need it.
